Job Description

We are looking for an exceptional Executive Assistant to join us here at BT, reporting to two of our directors. 

As our Executive Assistant, you will strive to build an effective network within BT of key contacts, as well as ensuring that all actions are captured, tracked and closed for your senior management team (SMT) members and their teams. 

We need someone who has fantastic organisational skills and can hit the ground running from day one.

Time management will be key, as you are accountable for managing diaries to ensure maximum output from our director’s working day. You will be forward thinking and proactive in your approach; ensuring that SMT members are happy with their daily calendars and have preparation time.

You'll have the following responsibilities

  • Complex diary management, scheduling internal and external meetings, and creating agendas
  • Regular travel booking - including flights, visas, accommodation and itineraries
  • Research and preparation for meetings - drafting reports and presentations
  • Completing ad-hoc research projects
  • Managing and approving expenses for 2 directors and their direct reports
  • Involvement in a variety of ongoing special projects
  • Creating pre-emptive planning sessions to ensure that you provide the best level of support to your directors. Taking into consideration a rolling 4-week view of the diary and assessing what might be required, and further out for major events such as all hands events
  • You will of course demonstrate the ability to maintain a professional approach at all times and a high degree of discretion & confidentiality
  • Ensuring important emails are not overlooked and chasing actions where needed. 
  • You will undertake ad-hoc requests in support of delivering secretarial or administrative tasks or activities e.g. organising equipment/induction for new entrants
  • Highly skilled at decision making and delegation, you will need the ability to understand the different work areas and make decisions on what can be delegated and to who within the wider team to ensure a balanced workload for your directors and their direct reports

You'll have the following skills & experience

  • Strong experience as an Executive Assistant or PA
  • Great PC skills required with working knowledge of full Microsoft Suite including Word, Excel, PowerPoint, Outlook etc. 
  • Self-motivated and able to work with little or no supervision, flexible and adaptable, with ability to re-prioritise work, staying calm and composed under pressure, maintaining accurate work at all times.  
  • Need to be forward thinking, see the problems and fix them. Having an ability to use initiative and able to take independent action and exercise proper judgement, maintaining trust, exhibiting a high degree of confidentiality and integrity.
  • Ability to multitask and support multiple individuals to an equivalent level, balancing urgencies.
  • Excellent interpersonal skills to communicate effectively at all levels as well as a strong customer service perspective, and have the ability to handle issues with respect, dignity, sensitivity and urgency.
  • Timeliness and accuracy – ability to respond quickly in actioning requests effectively and right first time.
  • Network and influence – ability to manage diary requirements well and work with other PA’s and individuals to find appropriate time and locations etc.
  • To be professional and accommodating at all times and reflect the ethos and values of your 2 directors and their direct reports.
